AI Policy for the Greater Rockville Chamber of Commerce Vendors

Effective Date: May 16, 2025

The Greater Rockville Chamber of Commerce is committed to leveraging artificial intelligence (AI) responsibly and transparently to enhance our services, support our members, and foster community engagement. This AI Policy outlines permissible uses of AI.

I. Approved Uses
a. General Approval Requirement: The Chamber requires written approval for any use of generative AI (GenAI) other than those uses explicitly approved in this Policy. Vendors may request Chamber approval by email to marji@rockvillechamber.org.
b. Approved Uses: The following uses are approved under this Policy:

  • Drafting social media posts
  • Summarizing voluminous data
  • Creating newsletter content

c. Approved GenAI Applications: The following GenAI applications are approved for use under this Policy:

  • OpenAI’s ChatGPT and DALL-E 2
  • Microsoft’s Co-Pilot
  • Anthropic’s Claude
  • MidJourney

d. Other Applications: Vendors must obtain written authorization before using any GenAI application not listed above for Chamber services. Malicious chatbots can be designed to steal or coerce the sharing of sensitive information.

II. Mandatory Human Review and Approval
a. Human Review Requirement: Chamber vendors must assign a human to review and approve any GenAI output before submission to the Chamber.
b. Review Standards: The vendor must verify that any response from a GenAI tool intended for reliance or use is:

  • Accurate
  • Appropriate
  • Free from bias
  • Not in violation of any individual or entity’s intellectual property or privacy rights
  • Consistent with this Policy and applicable laws

c. Certification of Compliance: Submission to the Chamber of any GenAI output constitutes the vendor’s certification that a human has reviewed and approved the submission as set forth in this Policy.

III. Confidential and Proprietary Information
a. Information Restrictions: Vendors may not input any confidential, proprietary, or sensitive information into any GenAI. Examples of such information include:
b. Personally Identifiable Information (PII):

  • Addresses
  • Phone numbers
  • Email addresses
  • Dates of birth
  • Social security numbers
  • Credit card or other billing information
  • Passport numbers
  • Financial account numbers
  • Driver’s license numbers
  • Biometric data
  • Marital status
  • Religious beliefs
  • Political beliefs
  • Names in combination with any of the above
  • Personal health information
  • Any other information defined as "personally identifiable information" by applicable law

c. Other Sensitive Information:

  • Information from documents marked Confidential, Sensitive, or Proprietary
  • Trade secrets or any other non-public information

IV. Compliance
a. Legal Compliance: Any use of GenAI must comply with all applicable state, federal, and local laws.

b. Certification of Legal Compliance: Submission of GenAI content to the Chamber constitutes certification by the vendor that the content complies with all applicable laws.
